The Project Coordinator will work in partnership with the Project Directors, Project Managers, Project Analysts, and National Facility Leader, to provide support including project coordination, document development and control, financial services, and communication for multiple on-going projects and programs. The candidate must be highly detailed oriented to keep up with project status on an ongoing basis. The candidate must be flexible with the changing of priorities, but highly organized to keep all project deadlines, and internal and external communication requirements in focus. The project coordinator works closely with internal partners to keep them informed of project status, and approval process; as well as external partners to ensure the flow of documentation and information ï¿½ utilizing a to be selected project management software tool.
Project coordinator will be required to process invoicing through two AP systems, working with budget trackers and loan draw tools to include final budget reconciliations and loan closeout documentation, as well as processing invoices though the corporate AP system, working with budget trackers and internal departments to conduct audits for the project accounting and tax purposes.. Project Coordinator will assist with new project set up including the submittal and tracking of Capital Expenditure Requests for both corporate and hospital needs. Project Coordinator will assist with new account set up of utility and maintenance accounts for MOBs including the transition of utility and maintenance accounts to property manager after project completion. Project coordinator will interface with vendors, hospital resources, and home office resources as a partner. Project Coordinator Set up will include establishing filing systems, tracking logs, accounting systems, contracts, and communication protocols.
Additional Duties of the Project coordinator will be as follows:
Data Management - Archiving and data organization, sharing data with project team and stakeholders upon request
Project Contracting - Management of contract processing, including engagement with stakeholders, legal team, and outside programs, Contract compliance audits and management of contracts with vendors
Vendor Approval ï¿½ Management of the vendor qualification process (VQP) which includes engagement internally and externally with approximately 20-25 touch points per vendor record
Tax Audit Support - Project research and data assembly for internal audit and property tax consultants
AP Reporting - Includes monthly and quarterly reporting, along with invoice payment follow-up and vendor communications
Development CAM / Utility Set Up ï¿½ Account and contract set up for developed and owned assets, includes engagement with local service providers and internal service groups
Blue Pillar Program Management - Emergency Generator management program, including scheduling and reporting
National Facility Director Communication Management - Team communication and distributions, includes management of the team data base
National Program Administration Support ï¿½ Roofing (Benchmark), space and compliance programs (ATG), IR Testing for insurance purposes
Utility Administration - Support for the administration of our national utility administration, contracting and bill pay platform
MS Teams Administration - Setup and administration of the RE team platform and tool, internal communication tool
Occasional support for travel and team meetings
BA in business or marketing or equivalent professional experience
Proficient in Microsoft Office Suite
Requires at least one to two years of project coordination experience
Experience with workflow management tools and project management tools, Kahua, eBuilder or similar tool is a plus
Knowledge and experience in the design and construction industry
