Overview
Under the general supervision of the Director of Facilities, you will lead key facilities projects, collaborating with the Chief Engineer, Managers, Nursing Informatics, and other stakeholders. Your role includes coordinating resources, ensuring project safety and security, overseeing infection control measures, and delivering projects on time and within budget. You will manage project scopes, track progress, handle changes, and maintain strong relationships with stakeholders and vendors.
Responsibilities
Project Coordination: Lead and manage facilities projects, overseeing all phases from initiation through closure. Develop and facilitate key project documents, including charters, budgets, project plans, issue logs, training plans, and status reports, outlining deliverables and expectations.
Guidance and Coaching: Support project leaders by providing guidance and coaching to ensure adherence to acceptable standards and hospital policies throughout project phases: initiation, planning, execution, monitoring, controlling, change management, and closure.
Vendor and Resource Management: Collaborate with application vendors and facilities resources to identify and address issues, risks, and delays in project tasks. Optimize functional and cost advantages by managing critical path events and resource commitments.
Communication and Escalation: Coordinate project status updates and escalate key issues, risks, and milestones to stakeholders. Facilitate effective communication to ensure all parties are informed and aligned.
Conflict Resolution: Assist in determining the best course of action for resolving conflicts and issues that arise during the project lifecycle.
Documentation and Proposals: Develop or oversee the creation of Request for Information (RFI) and Request for Proposal (RFP) documents. Prepare and manage documentation for vendor questionnaires, functional or technical specifications, and other project materials.
Vendor Selection: Document and facilitate the setting of customer expectations and priorities to evaluate vendor responses and assist in vendor selection.
Staffing and Budget Management: Identify and document required staffing for both the capital and operations phases of project implementation. Ensure that staffing needs are budgeted, approved, or contracted as necessary.
Strategic Planning: Work with the facilities management team to recommend adjustments to the yearly capital or multi-year strategic plans. Assist project sponsors in identifying workflow and business process impacts, as well as conducting cost-benefit assessments.
Procedure Development: Ensure that operating procedures, including downtime and unplanned procedures, are established for all impacted areas.
Infection Control: Oversee and implement infection control measures (ICRA) as part of project planning and execution.
Steering Committee Participation: Attend steering committee and other leadership meetings to provide project status updates and support decision-making processes.
Technology Guidance: Maintain an understanding of application capabilities and advise departments on advanced and effective use of technologies and applications.
Contractor Coordination: Understand contractor interdependencies and recommend adjustments to project plans as needed.
Effective Communication: Communicate clearly and effectively with team members, vendors, departments, and medical staff involved in projects.
Additional Duties: Perform other tasks as assigned to support the departments and institution’s goals and objectives.
Qualifications
Associate's degree or at least 5 years of relevant experience

Employed physicians through Beebe Medical Group and our affiliated physicians on Beebe's Medical Staff now serve patients from Milford to Millville in specialties including cardiac surgery, dermatology, endocrinology, family practice, gastroenterology, general surgery, internal medicine, pediatric neurology, and surgical oncology.
